The Role
Primarily responsible for the management of the office and related functions. As it relates to the Customer Care Center office building and related functions including maintenance, renovation, parking, purchasing, security, reception, cleaning, and mail services. Facilitate timely resolution of all maintenance/safety issues and concerns.
This is a fully onsite role and designated as essential personnel.
Key Responsibilities
Oversee daily office operations, including facilities, mailroom, and vendor services
Manage building maintenance and preventive maintenance to ensure a safe, functional work environment
Coordinate vendors supporting office operations (equipment maintenance, supplies, mail services, storage)
Maintain office inventory; monitor stock levels and proactively order supplies
Support new hire training by coordinating room setup, equipment, and materials
Process invoices and assist with office budget oversight
Partner with internal teams (Payment Services, RS Liaison, IT, and others) to ensure audit and compliance standards are met
Monitor facility usage, equipment performance, and shared spaces (break rooms, restrooms, conference rooms)
Assist with mailroom operations during high-volume periods or staff absences
Run office errands and complete mail deliveries as needed
Ensure all operations comply with company standards and applicable laws and regulations
Minimum Job Requirements
High School diploma or GED required; Bachelor’s degree preferred
2–3 years of experience in facilities or office operations oversight preferred
Demonstrated leadership experience with the ability to guide and support others
Experience managing vendors and coordinating service contracts
Strong organizational, time management, and prioritization skills
Excellent written and verbal communication skills
Customer-service mindset with the ability to collaborate across all levels of the organization
Proven ability to work independently, solve problems, and manage multiple priorities
Ability to create reports and deliver presentations as needed
Availability to be on call when required
